Total Expense Management (TEM)

The TEM application provides insight into mobile costs for both users and management. This service is not yet widely known in the Netherlands, but it certainly is internationally. The costs your company incurs for mobile communications are presented to users with the idea that you can save money by having users verify whether the reported number of minutes used is accurate. Previously, voice calls were always ranked first, followed by text messages, and then data. Nowadays, it’s the other way around: data is number one, followed by text messaging, and voice calls come last. Most companies operate under a single service plan, and the agreements made with the provider apply across the entire organization. That is precisely why it is so important to provide transparency into usage figures by department and user—not only to ensure effective procurement but also to make employees aware of the costs they incur for the organization. We regularly encounter situations where employees spend their entire day watching videos on the beach while on vacation abroad, without realizing that this can cost the employer (a lot of) money. In one case, the cost was as high as twenty thousand euros! It is important for companies to allocate costs appropriately and to establish policies regarding what is and is not permitted within the organization. These days, however, we’re seeing a broadening of those boundaries because personal and business life are increasingly intertwined, and we no longer live in a 9-to-5 culture but rather in a 24-hour society. Precisely because the line between personal and business use of communication is becoming increasingly blurred, it is important to provide and maintain transparency regarding costs, as this also allows you to see at what times an employee has been active on behalf of the company and whether communication is taking place securely.

Especially when it comes to hardware procurement, you want to make smart purchasing decisions. You want to have a clear understanding of the costs. We help with this through our Total Service Management. For example, we introduce life cycle management to companies to help the organization purchase hardware that can be used for the long term, so that you, as an employer, aren’t at the mercy of passing trends. You choose a single, suitable model for your organization—from a cost perspective, this is usually not the latest model but one or two generations older—equipped with viable software through updates so that the devices remain available for the next three years. Employees who leave the company return their devices. We restore them to like-new condition and ensure they are returned to the organization. The hardware goes through a cycle without needing to be replaced. One of the few costs you’ll incur is replacing a screen or casing. The hardware is guaranteed to be available, and when a model is discontinued, you won’t be subject to exorbitant repair costs. Employees usually think that when their phone breaks, they’ll get a new device. But that’s not the case. They don’t get a new model, but they do get a new device. The old device is repaired or disposed of in a sustainable manner—scrapped, disassembled, or given a new life through a registered program. In addition, once current models are phased out, we actively invite employees to choose new hardware—all, of course, in close consultation with the company. We also ensure data security through device management services that we administer on behalf of the organization.
